Building an AI Tender & Procurement System
A 20-year-old built an AI system that finds, prepares and helps win government and business tenders โ turning a confusing, paperwork-heavy process into something a small supplier can actually navigate.

Tenders move billions of rand in South Africa every year, yet most small suppliers can't crack them. This talk shows how a 20-year-old built an AI-powered platform to find, prepare and win tenders โ and how the same approach can level the field for everyday entrepreneurs.
The problem
Government and big-company tenders are where serious money is โ but the process is brutal. Opportunities are scattered across dozens of portals (eTenders, municipal sites, SOEs). Each one has different rules, a mountain of compliance documents, and tight deadlines. One missing tax clearance, BBBEE certificate or wrongly-filled form and you're disqualified, no matter how good your price. Small and township-based suppliers simply don't have the staff or know-how to keep up, so the same connected players win again and again.
How AI solves it โ real-world application
The platform in this session uses AI to take the pain out of three stages:
- Find: AI scrapes and scans portals daily, then filters for opportunities that actually match your business, location and category โ no more drowning in irrelevant notices.
- Understand: It reads the long documents and produces a plain-language summary โ what's needed, the deadline, the must-have compliance items, and a checklist.
- Prepare: It drafts the proposal, fills repetitive forms from your saved company profile, and flags missing documents before you submit.
Under the hood: AI models (Claude/OpenAI) for reading and drafting, a database of your company documents, and automation to watch the portals. The human still makes the pricing and strategy calls โ AI just removes the 80% that is admin.
Skills you'll learn
- How South African tenders and procurement actually work
- Using AI to read and summarise long, dense documents
- Building a reusable company compliance profile
- Automating the search for relevant opportunities
- Drafting competitive, compliant proposals faster
- Catching disqualifying mistakes before submission
Where to use them
- Small suppliers chasing government and municipal contracts
- Construction, cleaning, catering and security businesses
- Consultants and professional service firms
- Cooperatives and youth/women-owned enterprises
- Anyone who currently pays a "tender agent" R5,000+ per bid
What it can earn you (potential value)
Indicative, not guaranteed โ but tenders are high-value, so even small wins matter. You can build this as a service for other businesses, or use the skill to win contracts yourself.
Example: offer a tender-support service to 5 SMEs at R1,500/month each for opportunity alerts and proposal help = ~R7,500/month recurring, plus a success fee (e.g. 2โ5%) on contracts won. Helping a client land even one R200,000 contract at a 3% fee = R6,000 once-off on top. The value scales fast because the deals are big โ your job is to make sure good suppliers stop missing them.
