In this session we sat down with Claude open on the screen and gave it the most ordinary, soul-draining task in any business: admin. Quotes, emails, invoices, follow-ups. By the end, the assistant was doing in minutes what used to swallow whole evenings.

The problem

Ask any small business owner in South Africa where their time really goes and it's rarely the actual work. It's the admin around it. The plumber who's brilliant with pipes but loses jobs because he never sent the quote. The caterer answering the same WhatsApp questions twenty times a day. The freelancer chasing invoices, retyping the same email, formatting the same report. This invisible work isn't paid, it's exhausting, and it's the reason so many good small businesses stay small. There's no budget for a full-time assistant, so the owner becomes the assistant, at the cost of the work that actually brings money in.

How AI solves it โ€” real-world application

A digital assistant like Claude can quietly handle most of that load. You don't install anything complicated, you describe your admin in plain words and let it work.

Real things you can set up in an afternoon:

  • Quotes and invoices: Paste your rates once. Then say "draft a quote for 3 hours of plumbing plus call-out in Benoni" and get a clean, professional document in seconds.
  • Email and WhatsApp replies: Give it your tone and common questions, and it drafts polite, on-brand replies you just check and send.
  • Turning messes into order: Drop in a voice-note transcript or a pile of notes and ask for a tidy summary, a to-do list, or a client report.
  • Repetitive documents: Lease agreements, booking confirmations, school newsletters, fill in the blanks and it produces the whole thing.

Pair Claude with Google Sheets or Gmail and it becomes a tireless junior who never complains, works after hours, and costs less than a single client's monthly fee.

What it can earn you (potential value)

This is indicative, but it works two ways: time saved and money made.

Time saved: If admin eats 10 hours a week and your assistant cuts that to 3, you reclaim around 28 hours a month. For a tradesperson billing R250/hour, spending even half of that on real work is roughly R3 500/month of extra earning capacity, plus the jobs you no longer lose by replying late.

Money made: You can also offer "admin automation" as a service to other small businesses. Set one up for R1 200 once-off plus R250/month to maintain. Five clients gives you around R1 250/month recurring with setup fees on top, realistically a R2 000โ€“R6 000/month range as you grow. Either way, the boring work finally starts paying you back.
